Expense categories define how accounting records are grouped for a claim. Use them to keep source accounts, tracking categories, and claim report outputs aligned.

Review imported accounting data

Start from the accounting connection for the organization. For the current rebuild, Xero-first workflows are the verified migration target. Review imported accounts, contacts, transactions, and tracking categories before mapping them into claim categories.

Map categories

Create or update each category with a clear label, source mapping, and review owner. Keep mappings narrow enough that reviewers can explain why an expense belongs in the category.

Reconcile before reporting

Before generating reports, compare mapped expenses against source accounting totals and uploaded evidence. Resolve unmapped or ambiguous records before exporting a claim pack.
